Single Campus Requisition Tab Overview

"Campus Requisitions" is a process that increases the inventory at the campus level. The campus or the district can place requisitions to order/requisition items supplied by the district.

The "Single Campus" tab provides the tools needed to process all campus requisitions. Within this tab, the district can create a single campus requisition for a specific campus, review/approve/edit/deny submitted requisition quantities, process/print a “Pick Ticket,” ship requisition quantities, and, if desired, receive shipped quantities on behalf of the respective campus.

Single Campus Requisition Page

Term Definition
Add plus.png Creates a new, single-campus requisition
Show Completed check.png Displays completed campus requisitions (all items have been received/denied)
Campus ID An alpha and/or numeric campus number (often corresponds with the student management system's campus ID numbers)
Campus Name Name the site/location goes by
Requisition Name Displays the names given to the campus requisitions (must be unique by campus)
Red Text Indicates a campus requisition with at least one ISBN in the status of "back order" (the district warehouse currently does not have enough in storage to ship to the campus)
Status Displays the overall status of the campus requisition (not to be confused with the respective ISBN's statuses)
Date Submitted Displays the date the campus requisition was created
Details mglass.png Opens the "Campus Requisition Details" page, which provides the tools needed to process the respective campus requisition
Edit pencil.png Opens the "Campus Requisition Details" page and allows the editing of the campus requisition
Report scroll.png Opens the respective PDF file formatted "Campus Requisition Report" as of that moment in time

Campus Requisition Details Page

This page will automatically load the respective tab based on the next step in processing the campus requisition.

Term Definition
Requisition Name Name given to the campus requisition (must be unique)
Campus Name Name the site/location goes by
Campus ID An alpha and/or numeric campus number (often corresponds with the student management system's campus ID numbers)
Date Created Displays the date an Instructional Materials Management user created the campus requisition
Created By Displays the name of the user who was logged into Instructional Materials Management and created the campus requisition
Status Overall status of the campus requisition (not to be confused with the respective ISBN's statuses)
Total Value of Requisition Displays the overall values of the campus requisition (quantity requested, multiplied by ISBN unit price)
Total # of Books Ordered Displays the total quantity of copies requested (all ISBN-specific quantities combined)
Notes Displays the notes entered regarding the items within the campus requisition for communication purposes between the campus and the district
Delete delete.png Permanently deletes the campus requisition and all of the associated information (except successful distributions to campuses)

Approve Tab

Item Description
Deny deny.png When displayed, allows the item to be marked as "denied" (no copies are approved or will be shipped)
ISBN Displays the International Standard Book Number (generally a 10- or 13-digit number) on the campus requisition
Title Displays the assigned name of the instructional material requested on the campus requisition
SLC (State List Code) Displays the respective state-assigned number associated with the ISBN
Available Displays the total count expected to be on hand within the district warehouse/storage location and ready to distribute to a campus (Available = Storage - Ticketed)
Campus Transfer Provides two related functions to identify materials not being utilized within the district:
  • Displays the total storage count located/distributed to other campuses within the district for the respective ISBN
  • Clicking on the displayed number opens a window listing each approved campus for the respective title, its total inventory, its eligibility, and its “not in use” storage count
Item Status (located below the blue header bar) Displays the current status of each ISBN on the campus requisition and provides the "owned," "eligible," "ordered," and "approved" counts of each ISBN on the campus requisition respective to the campus
Approved Item Summary When open, allows the entry of the desired approved number for each ISBN on the campus requisition (this number indicates the count the district intends to ship to the campus)
Approve Item approve.png When displayed, applies the count located in the “Approved” field (the grayed-out icon indicates the approved number can no longer be edited)
Approve All approveall.png (Located above the blue header bar) Applies the counts located in the “Approved” fields for all eligible titles in the grid at one time

Shipping Tab

Item Description
Prepare Ticket prepare.png When displayed and selected, processes all of the approved items on the campus requisition and places them on the Pick Ticket
Pick Ticket pickticket.png When displayed and selected, creates a report (Pick Ticket) itemizing approved items and their quantities for the district warehouse staff to pull, package up, and ship to the campus
Re-print Pick Ticket reprintpick.png When displayed and selected, allows the current Pick Ticket(s) to be reprinted until the respective ISBNs are received at the campus level
Status (located below the blue header bar) Displays the current status of each ISBN on the campus requisition
ISBN Displays the International Standard Book Number (generally a 10- or 13-digit number) on the campus requisition
Title Displays the assigned name of the instructional material requested on the campus requisition
SLC (State List Code) Displays the respective state-assigned number associated with the ISBN
Available Displays the total count expected to be on hand within the district warehouse/storage location and ready to distribute to a campus (Available = Storage - Ticketed)
Backorder Displays the quantity not able to be shipped to the campus due to the district storage count for the ISBN (any quantity higher than zero in this column triggers the campus requisition name to display in red text on the "Single Campus Requisition" grid)
Approved Displays the desired quantity the district intends to ship to the campus (designated on the "Approve" tab)
# Shipped Displays the quantity already shipped to the campus (the ISBN has the status of either "In Transit" or "Complete")
Ship ship.png Marks the item as "In Transit" (defined as packed up, loaded on a delivery vehicle, and headed toward the campus)
Ship All shipall.png (located above the blue header bar) Simultaneously marks/ships as "In Transit" the counts located in the "To Ship" fields for all eligible titles in the grid
Undo undo.png Removes an ISBN from the status of "Ticketed" and places it back in the status of "Approved"

Receiving Tab

Item Description
Status (located below the blue header bar) Displays the current status of each ISBN on the campus requisition
ISBN Displays the International Standard Book Number (generally a 10- or 13-digit number) on the campus requisition
Title Displays the assigned name of the instructional material requested on the campus requisition
SLC (State List Code) Displays the respective state-assigned number associated with the ISBN
Ordered Displays the quantity requested respective to the instructional material on the campus requisition
Copies Sent Displays the quantity of item(s) shipped to the campus (if using Quick Ship, this number may be different than the quantity "Ticketed")
Sent Displays the date the respective ticketed items were shipped to the campus
Ticket # Displays the Pick Ticket number
Received Displays the counts to be received on behalf of the campus (the count can be reduced to reflect an incomplete or partial shipment of copies marked "In Transit")
Receive Item receive.png Allows the district to receive an "In Transit" shipment on behalf of the campus (campus inventory counts are updated and the item[s] become available to be issued to individuals on the campus when the shipment is received)
Receive All receiveall.png (located above the blue header bar) Simultaneously receives all ISBNs listed for the "In Transit" shipment on behalf of the campus

Edit Campus Requisition Page

Item Description
Requisition Name Displays the name given to the campus requisition (must be unique)
Campus Name Displays the name of the campus associated with the campus requisition
Notes Displays the notes entered regarding the items within the campus requisition for communication purposes between the campus and the district
ISBN Displays the International Standard Book Number (generally a 10- or 13-digit number) requested on the campus requisition (grayed-out ISBNs are campus-owned items)
Title Displays the assigned name of the instructional material requested on the campus requisition
Publisher Name of the company that publishes the respective instructional material
SLC (State List Code) Displays the respective state-assigned number associated with the ISBN
Price Suggested replacement price for a single copy
Teacher Enrollment Displays the number of teachers scheduled to teach classes utilizing the selected ISBN for this campus (book-course relationships are required for this to calculate accurately)
Student Enrollment Displays the number of students scheduled to attend classes utilizing the selected ISBN for this campus (book-course relationships are required for this to calculate accurately)
Total Eligibility Displays the total number of individuals ("Teacher Enrollment" + "Student Enrollment"), multiplied by the assigned campus eligibility percentage assigned for this ISBN (book-course relationships are required for this to calculate accurately)
Copies Owned Displays the quantity of the selected ISBN for which the district is holding the campus responsible
Copies on Order Displays the quantity of the selected ISBN already submitted to the district office on a campus requisition and not yet received
District Available Displays the total count expected to be on hand within the district warehouse/storage location and ready to distribute to a campus (Available = Storage – Ticketed)
Copies Needed Displays the quantity the campus is eligible for: "Total Eligibility" subtracted by the "Copies Owned" (book-course relationships are required for this to calculate accurately)
Copies to Order A field to record the additional requested quantity of the selected ISBN to ship to the campus
Add Textbook to Requisition plus.png Attaches the ISBN and the "Copies to Order" to this campus requisition
Save floppy.png Allows changes to be saved after updating the campus requisition
Report scroll.png Opens the respective PDF file formatted "Campus Requisition Report" as of that moment in time
Cancel cancel.png Closes the "Edit Requisition" page and displays the "Single Campus Requisitions" page
Edit Quantity pencil.png Located in each ordered ISBN's row; opens the quantity ordered for the respective ISBN to allow changes
Remove ISBN from Requisition delete.png Located in each ordered ISBN's row; removes the respective ISBN from the campus requisition

Note: A campus requisition can be named anything not used before (per campus). Many districts have naming conventions they ask their campuses to follow. One common naming convention is: [YY] [Campus #] [MMDD]
