This article provides a beginning-of-year checklist for Instructional Materials Management (IMM) to help K–12 district administrators and campus staff prepare textbooks, consumables, and instructional materials for student distribution. It covers essential tasks such as verifying SIS (Student Information System) imports, uploading and assigning materials, validating course and section data, distributing materials to students, and managing consumables. Following this checklist supports accurate inventory setup, efficient material distribution, and a smooth start to the school year.
1. Confirm SIS Imports Are Running Nightly
- IMM relies on nightly imports to update student, teacher, course, and section data.
- If you have updated your SIS or data format, contact Frontline Support to confirm compatibility.
- New IP addresses or ranges should be reported to ihdmsupport@frontlineed.com to prevent file delivery issues.

2. Upload and Assign Instructional Materials
- Add ISBNs, titles, quantities, and barcodes into the "Catalog."
- Assign materials to the correct site, course, and funding source.
- Link materials to publishers and series for tracking and reporting.
3. Validate Course and Section Mapping
- Ensure students and teachers are linked to the correct campuses and courses.
- Align course names with the correct instructional materials for automated distribution.
4. Prepare for Student Material Distribution
- Use the Student Issue/Collect tool to assign materials to students by course or grade.
- Set due dates and expected quantities.
5. Manage Consumables
- Add consumables for each campus or course section.
- Track quantities and reorder where needed to prevent shortages.
