User Roles

A User Role is a permission setting established by the administrative administrator to determine the level of access for each Asset Management user.

Limit User Role Permissions

There are two ways to limit user role permissions (Administrative Admins and Site Admins).

Method 1

Administrative administrators* can limit site level permissions by user from the User Management screen. For example, Ms. Jones, an administrative assistant at the high school, needs "view only" access to print out staff receipts without the ability to change anything in Asset Management.

Method 2

Administrative administrators can use the District Settings to select district-wide preferences (possibly affecting site level functionality). The following are the preference options available:

Site Administrator**:

  • Restrict Bulk Room to Room Transfers
  • Restrict from Adding Students from Other Sites when Issuing to Students
  • Restrict from Associating Tags to Purchase Orders
  • Restrict from Creating New Room Audits
  • Restrict from Editing Products on a District Purchase Order
  • Restrict from Initiating and Receiving Tags when Issuing to Staff/Students
  • Restrict from Quick Collecting Another Site's Assets
  • Restrict from Reconciling District Initiated Audit
  • Restrict from Reconciling Site Initiated Audits
  • Restrict Quick Transfers of Inventory when Deactivating Staff

Site User***:

  • Restrict from Adding Students from Other Sites when Issuing to Students
  • Restrict from Creating New Room Audits
  • Restrict from Initiating and Receiving Tags when Issuing to Staff/Students
  • Restrict from Quick Collecting Another Site's Assets
  • Restrict Shipping of Initiated Inventory Transfers

Each of the four Asset Management-provided User Roles has areas of Asset Management to which the user may have limited access/functionality or no access. See options to reduce accessibility for each view and role below.
