User Roles

This article explains Asset Management user roles and how administrators can limit access for individual users or across the district. User roles determine what each user can view and do in Asset Management based on their assigned view and role.

Limit User Role Permissions

Administrative administrators can limit user role permissions in two ways:

Method 1: Limit Permissions by User

Administrative administrators can limit site-level permissions for an individual user from the “User Management” screen. For example, a site staff member may need view-only access to print staff receipts without the ability to make changes in Asset Management.

Method 2: Set District-Wide User Role Restrictions

Administrative administrators can use District Settings to apply district-wide restrictions that affect site-level functionality. The following options are available:

Site Administrator

  • Restrict Bulk Room-to-Room Transfers
  • Restrict Adding Students from Other Sites when Issuing to Students
  • Restrict Associating Tags to Purchase Orders
  • Restrict Creating New Room Audits
  • Restrict Editing Products on a District Purchase Order
  • Restrict Initiating and Receiving Tags when Issuing to Staff or Students
  • Restrict Quick Collecting Another Site’s Assets
  • Restrict Reconciling District-Initiated Audits
  • Restrict Reconciling Site-Initiated Audits
  • Restrict Quick Transfers of Inventory when Deactivating Staff

Site User

  • Restrict Adding Students from Other Sites when Issuing to Students
  • Restrict Creating New Room Audits
  • Restrict Initiating and Receiving Tags when Issuing to Staff or Students
  • Restrict Quick Collecting Another Site’s Assets
  • Restrict Shipping of Initiated Inventory Transfers

Asset Management User Roles

Asset Management includes four standard user role combinations. The tables below summarize where access is unrestricted, restricted, or unavailable.
