This article explains how to use the “Tag Information” window in Asset Management to search for a tag or serial number, review asset details, update tag-specific information, and move an asset’s location. The “Tag Information” window includes the “Detail,” “Status History,” “Audit History,” “Components,” and “Attachments” tabs so users can view a complete asset record in one place.
In the “Status History,” “Audit History,” and “Attachments” tabs, records display from newest to oldest, so the most recent information appears at the top of each grid.
Detail Tab
The “Detail” tab displays core asset information, including current location, status, funding details, and product details.
Tag Information
- Tag Number - The unique identifier used to track an asset in Asset Management
- Serial Number - The serial number recorded for the asset, if required by the district
- Site - The site where the asset currently resides. The icon next to the site name opens the displayed location.
- Location - The current location type and location name for the asset. This field displays in red if the tag is not at your location.
- Asset Type - Indicates whether the asset is a “Standalone,” “Parent,” or “Component” asset
- Status - The asset’s current status, such as “In Use,” “Available,” “Lost,” or “Disposed”
- Transfer Number - Displays when the asset status is “Pending Transfer"
- Scan Date - The most recent date the asset had a status change or location change
- RFID - Displays “Enabled,” “Not Enabled,” or “Not Found"
- Mobile Device Management integration fields - Fields such as “Device Name,” “External IP,” “Internal IP,” “Last Login Date,” “Last Login User,” “Last Seen Date,” “LAT/LONG,” “MAC Address,” and “MDM Status” display synced information from an integrated mobile device management system, such as Google or JAMF
- Custom Fields - District-defined custom fields for the asset
- Tag Notes - Notes specific to the asset tag
- Due Date - The due date shown when the asset is issued to a staff member or student with a due date assigned
Funding Information
- Source - Indicates whether the asset was added through Purchasing or Room Initialization
- Order Number - The purchase order number used to acquire the asset
- Funding Source - The funding source used to purchase the asset
- Account Code - The account code associated with the purchase
- Vendor - The vendor the asset was purchased from
- Purchase Date - The date the asset was purchased
- Purchase Price - The price paid for the asset
- Expiration Date - The projected replacement date for the asset
Product Information
- Product - The product name associated with the asset
- Product Number - The product number associated with the asset
- Product Type - The product type assigned to the asset
- Manufacturer - The manufacturer of the product
- Model - The model of the product
- Suggested Price - The average cost of the product
- Product Notes - Notes related to the product definition
- Product Image - An image associated with the product
Status History Tab
The “Status History” tab shows a chronological record of status and location changes for the asset. Records display from newest to oldest based on scan date.
- Status - The asset status at the time of the entry
- Source - The asset location at the time of the entry
- Status Notes - Notes entered during the action
- Site - The site associated with the asset at the time of the entry
- Destination - The destination site or location when the entry records a transfer
- Scan Date - The date the action occurred
- Scan By - The user who was logged in when the action occurred
Audit History Tab
The “Audit History” tab shows each audit-related record for the asset.
- Tag Audit State - The asset’s audit state at the time of the audit or reconciliation
- Audit Date - The date the audit was initialized
- Created By - The person who created the audit
- Expected Location - Where the asset was expected to be at the time of the audit
- Audit Location - Where the asset was scanned during the audit, or where it was expected if it was not scanned
Components Tab
- Displays component information based on the asset’s current “Asset Type.”
- Supports component management tasks, including:
- Removing existing component relationships
- Assigning a tag to another tag
- Transferring one or more components to a different parent tag
Attachments Tab
- Each attachment record includes:
- File Name - The attached file name
- File Size - The size of the attached file
- Date Attached - The date the file was added
- Attached By - The person who attached the file
Tag Information Reports
- Tag Lifecycle Report - Available from the “Select Action” dropdown. This CSV report shows all events recorded for a tag in Asset Management, including “Event Date,” “Event User,” “Event Name,” “Tag Status,” “Tag Site Update,” “Tag Location Update,” and “Event Details.”
